AACO Job Applicant Privacy Notice

At Aramco Americas Company (“AACO,” “we,” “us,” or “our”), your privacy is important to us. We have prepared this Privacy Notice to provide job applicants (“Applicants”) with information about our privacy practices. This Privacy Notice applies when you submit an application for employment at AACO, apply for employment through a website or portal operated by AACO, or access AACO’s careers websites or online services that link to or refer to this Notice (each, a “Careers Site”) or otherwise provide AACO your personal information. Please read this Privacy Notice to fully understand what personal information we collect, how we collect and use that personal information, and how we protect it.

As used in this Privacy Notice, “personal information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with an Applicant. Personal information does not include publicly available, deidentified, or aggregated information.

1. What Personal Information We Collect

We collect the following categories of personal information about our Applicants:

  • Identifiers and Personal Records, including name, signature, alias, postal address, IP address, email address, username, phone number, driver’s license, state ID or passport information, education, employment, and employment history.
  • Characteristics of Protected Classifications, including age and date of birth, gender, military or veteran status, or disability. We also may collect sensitive personal information such as racial or ethnic origin, citizenship or immigration status.
  • Commercial Information and Payment Account Information, including records of products or services purchased or obtained in the job application process (such as expenses incurred when you travel for an interview) and financial account information needed to process reimbursements.
  • Internet or Other Electronic Activity Information, including browsing history, search history, and information regarding your interactions with our Careers Sites.
  • Geolocation Data, including your approximate location derived from your device IP address.
  • Audiovisual Information, including CCTV footage if you visit our offices, and audio and video recordings, such as if you call us on a recorded line, interact with us through videoconferencing, or complete a prerecorded interview or skills assessment.
  • Professional or Employment-Related Information, including:
    • Your employment status, title, location, and tenure;
    • Background information for onboarding and security screenings;
    • Recruitment information, such as skills, qualifications, references, recommendations, and other information included in a resume, application form, or cover letter;
    • Education, training, and professional certifications; and
    • Functional experience, leadership experience, honors or awards, evaluations, developmental planning, career interests and development information;
  • Non-Public Education Information, including school(s) attended, grades, transcripts, records of attendance, degrees obtained, and other information relating to your secondary and post-secondary education.
  • Inferences, including information about your abilities and aptitudes that we may use to evaluate your candidacy and how well you would fit in certain roles.

We may also collect personal information that does not fit into the categories above, for example the contents of communications you choose to share with us. We may combine your personal information with information we obtain from our systems and devices, our services, other records, and other parties. Your personal information may be converted into deidentified, anonymized, or aggregated data. Once information is deidentified, we will not attempt to reidentify it, except as permitted by law.

2. Sources of Personal Information

We collect the categories of personal information described above from the following categories of sources:

  • Directly from you, including during the application process.
  • Created by us, including inferences about you.
  • Automatically, including when you use our Careers Sites.
  • From vendors that help us operate our business, including human resources providers, vendors that assist with Applicant screening, and information technology vendors.
  • From other sources, including educational institutions, professional organizations, recruiters, professional references, and other parties that may provide us with information related to your application.

3. How We Use Personal Information

Generally, we use or otherwise process Applicant personal information for the following purposes:

  • Determining your eligibility for a position with AACO, including assessing your fit for a specific role, conducting interviews, and otherwise processing your personal information in relation to positions at AACO.
  • Communicating with you, including about your application.
  • Protecting AACO against illegal activity and other misconduct, including by conducting background screenings, monitoring for, detecting, and investigating security incidents, protecting against malicious, deceptive, fraudulent, or illegal activity, and protecting our rights and the rights of others.
  • Undertaking activities to verify and maintain the quality or safety of our products or services, including by evaluating how you may contribute to our mission.
  • Advertising and marketing, including providing you with tailored recommendations and updates.
  • Operational purposes, including administration of AACO’s information technology systems and networks, workforce structuring, training, and public relations.
  • Security and integrity, such as managing access, maintaining systems and servers, enhancing information technology, maintaining the security of our operations and systems, protecting our premises, assets, systems, and intellectual property, enforcing company policies, investigating claims, and performing investigations related to compliance, security, integrity, and disciplinary actions.
  • Business reorganization, such as preparing for or entering into a merger, sale, purchase, joint venture, assignment, transfer, or other disposition of our business, assets or stock, or rehabilitation, capital venture, or any similar transaction.
  • Complying with our legal obligations, including those related to tax, immigration, health, safety, employment, intellectual property, and anti-discrimination, and other legal requirements.

4. How We Disclose Personal Information

We may disclose personal information to the following parties for the purposes set forth above:

  • Our affiliates, including Saudi Aramco and other Aramco Group affiliates and entities.
  • Service providers on which AACO or our affiliates may rely.
  • Public authorities as required by law, when responding to government requests, or in connection with corporate transactions.
  • Parties to corporate transactions as part of a corporate transaction or proceeding such as a merger, financing, acquisition, bankruptcy, dissolution, or a transfer, divestiture, or sale of all or a portion of our business or assets.
  • Other recipients upon your request or as necessary to provide services you request, meet our legal obligations, protect our rights or the rights of others, or to meet our obligations to you.

5. Online Tracking Technologies

We and our vendors that provide content or functionality on the Careers Sites may use cookies and similar tracking technologies that collect information when you interact with the Careers Sites. Depending on your device and browser settings, these technologies may collect information such as your IP address, device identifiers, user preferences, approximate geolocation, the pages you click on, and the website you visited immediately beforehand. Additionally, these technologies may collect details about how you interact with the Careers Sites. We may use these technologies for various purposes, including to facilitate administration and navigation on the Careers Sites, to measure the effectiveness of recruitment advertising and job postings, to better understand and improve the Careers Sites, to personalize certain content on the Careers Sites, and to provide you with a customized online experience.

Technologies we use may include but are not limited to:

Cookies. Cookies are small files that are set by your browser on your computer or device when you visit a website. Cookies may be used to store a unique identification number tied to your computer or device so that you can be recognized as the same user across one or more browsing sessions, and across one or more sites. On the Careers Sites, we use first-party cookies that we set directly as well as third-party cookies set by vendors whose services we have incorporated into the Careers Sites (including recruitment advertising and analytics vendors) or who support site functionality, security, and limited personalization.

Most web browsers are set to accept cookies by default. Depending on your browser or device, you may have settings that allow you to control how cookies are handled, including whether browser cookies are set and to delete them. For example, you may be able to configure your browser to block cookies or to notify you when a cookie is being set. For more information about whether these settings are available, what they do, and how they work, visit your browser’s help menu. Please be aware that some features of the services may not function properly if you disable cookies.

Web Beacons and Other Tracking Technologies. We, along with our vendors, also may use technologies called beacons (or “pixels”) that communicate information from your device to a server. Beacons can be embedded in online content, videos, and emails, and can allow a server to read and collect certain types of information from your device, know when you have viewed particular content or a particular email message, determine the time and date on which you loaded the web beacon, and the IP address of your device. We and our vendors may use web beacons for a variety of purposes, including to analyze the use of our services and to improve and secure the Career Sites.

Certain advertising tracking technology vendors may participate in the Digital Advertising Alliance (“DAA”) AdChoices Program and may display an Advertising Options Icon for Interest-based Ads that links to an opt-out tool which allows you to exercise certain choices regarding targeting. You can learn more about the DAA AdChoices Program at http://www.youradchoices.com/. Please be aware that, even if you are able to opt out of certain kinds of interest-based ads, you may continue to receive non-targeted ads.

Some browsers may have a “Do Not Track” setting. Please note that the Careers Sites are not designed to respond to “Do Not Track” settings.

6. How Long We Retain Personal Information

We maintain the categories of personal information described above for as long as necessary for the purposes described in this Privacy Notice or otherwise authorized or permitted by applicable laws or regulations, including where retention of your personal information is reasonably necessary to: manage your relationship with us, carry out our operations, or satisfy another purpose for which we collected the personal information; carry out a disclosed purpose that is reasonably compatible with the context in which the personal information was collected; comply with our legal or regulatory obligations; or protect or defend our rights or property.

Where personal information is used for more than one purpose, we will retain it until the purpose with the latest period expires.

7. Third-Party Content and Links

Some of the content and functionality on the Careers Sites may be provided by third parties that are not affiliated with us. In addition, the Careers Sites may link to third-party websites and services that are outside of our control. These third parties may use your information to improve their own services, consistent with their own privacy policies. We are not responsible for the content or privacy practices of any online services that we do not control.

8. How We Protect Your Personal Information

We strive to maintain adequate technical and organizational measures to protect the personal information we process about you, which we provide at no cost to you. However, please note that no data transmission over the internet can be guaranteed to be completely secure. As a result, although we strive to protect your personal information and privacy, we cannot guarantee or warrant the security of your personal information and cannot be responsible for the theft, destruction, or inadvertent disclosure of your personal information.

9. Individual Privacy Rights

You may have certain rights as a data subject under local law. For example, you may have the right to access or delete personal information, as well as other rights. The Careers Sites may provide you with direct access to view, update, correct, and/or delete your data. We will respond to requests in accordance with applicable law and subject to legal and contractual restrictions.

Applicants from Countries Outside the United States

If you are using the Careers Sites from outside the United States, please be aware that information we obtain about you will be processed in jurisdictions other than your own, including the United States, and may be accessed by the courts, law enforcement and national security authorities in those jurisdictions. By using the Careers Sites, you acknowledge and consent to the international transfer and processing of your personal information as described in this Privacy Notice. Please be aware that the data protection laws and regulations that apply to your personal information transferred to the United States or other countries may be different from the laws in your country of residence.

Some data protection laws require us to designate one or more legal bases for processing your personal information. When applicable, we rely on the following legal bases:

  • Our Legitimate Interests. We use personal information when we have a legitimate interest in doing so, as long as our legitimate interest is compatible with your rights and expectations of privacy, including:
    • To provide you with services relevant to your application and to customize your experience with the Careers Sites;
    • To send you communications relevant to your application;
    • To manage and improve our recruiting process, the Careers Sites, and related offerings, including analyzing the use of the Careers Sites, and determining the effectiveness of our advertising; and

    • To review your employment application.

    • To enforce our legal rights and to enforce or manage legal claims.
  • Your Consent. In some jurisdictions, certain processing of personal information requires your consent. When required by local law, we rely upon your consent for the following types of activities involving your personal information:
    • To send you marketing or promotional messages; and
    • To deliver targeted advertisements to you, including by using cookies and similar technologies, as explained above.

Depending on your country of residence, you may have certain rights as a data subject under local law. For example, local law may afford you the right to access, update, restrict, object, erase, port and/or correct inaccuracies in your personal information, to withdraw your consent to certain types of processing, or to obtain information about our policies and practices regarding service providers. Your request may require verification of your identity, and may be subject to exceptions prescribed by law. We may update this Privacy Notice from time to time. If we make any changes, the updated Notice will be posted on our Careers Site with a new Last Updated date. We may also notify you in other ways or obtain your consent when required by applicable law. We encourage you to periodically review this Privacy Notice for the latest information on our privacy practices.
